Planning a Cultural Performance for a University or College Event

University and college cultural events are the most structured performance bookings in Pakistan, and also the most frustrating for anyone organising one. The gaps are almost always the same: unclear decision-making, late budget release, and a sound check that happens after the audience arrives.

Start with the brief, not the performer

Write down the theme, the duration, the stage dimensions, the language of the announcement, and whether the audience is seated or on a floor. A one-page brief sent to three providers gets three comparable proposals. A vague enquiry gets three different assumptions and a last-minute argument.

Budgeting realistically

Institutional cultural budgets are usually built around a small number of line items. The most common mistake is allocating everything to the performance and nothing to production — sound, stage, and a technician. A set that is technically under-rehearsed because the budget went to more dancers is a false economy.

Rehearsals and site visits

Any professional provider will ask to see the stage. Take them up on it. Walk the entry route, check the power outlets, note the ceiling height, and find out where the audience will be sitting. Ten minutes on site prevents most of the problems that otherwise appear at 7pm on the night.

The sound check

Schedule it, put it in the programme, and hold the event to it. Check the dhol and the backing track separately — folk forms are almost always live percussion, and live drums need a different mix level from recorded music. A dhol balanced through a small PA will be inaudible in the back row.

Decide who can say "no" to a change on the night, and make sure that person is not the cultural coordinator.

Contributing and originality

Many institutional events now expect original work rather than a compilation of existing performances. That is a legitimate expectation, but it needs a longer lead time. If your brief requires original choreography, raise it at the first meeting, not the last.
